Update Name in Employer Records and EPF (UAN) After Name Change
Updating your name with your employer is essential for payroll, tax filing (Form 16), Employee Provident Fund (EPF), and Employee State Insurance (ESI). Because EPF withdrawal and pension claims require matching Aadhaar and PAN details, updating your employer records and UAN profile avoids claim rejections later.
How employer records and EPF updates work
Your employer maintains internal payroll and service records, and manages your profile on the EPFO employer portal. Internal HR updates usually take 1–7 working days once you submit updated KYC documents. For EPFO (UAN), changes require an online Joint Declaration submitted via the Unified Member Portal and approved by your employer and the regional PF office.
Documents required
- Formal written request or HR ticket: stating employee ID, previous name, new name and reason.
- Updated Aadhaar card: downloaded e-Aadhaar showing the new legal name.
- Updated PAN card: e-PAN or physical card copy.
- Marriage certificate: for marriage-related surname changes.
- Gazette notification copy: for general name, surname or religion changes.
- Joint Declaration Form: signed by you and the employer if updating EPFO records.
Step-by-step process
- Submit request to HR: Provide your HR or payroll team with self-attested copies of your updated Aadhaar, PAN and Gazette copy or marriage certificate.
- Payroll and Form 16 update: HR updates internal payroll so future salary slips and TDS returns (Form 24Q) reflect your new legal name.
- EPF online modification: Log in to the EPFO Unified Member Portal under Manage > Modify Basic Details. Enter your correct name as per Aadhaar.
- Employer digital approval: Your employer receives the modification request on the employer portal and approves it using digital signature credentials.
- EPFO field office processing: The regional PF commissioner office reviews the joint declaration and supporting documents. The UAN name is updated within 15–30 working days.
- ESI update: If covered under ESI, HR submits a modification request on the ESIC portal to issue an updated Pehchan card.
Common problems
PF claim rejected due to name mismatch. If you previously contributed under your old name and your Aadhaar now shows your new name, follow our EPFO PF Name Mismatch Guide to file a joint declaration before submitting Form 19 or 31.
UAN not seeded with updated Aadhaar. If the EPFO portal shows an error during online modification, ensure your mobile number is linked to Aadhaar and that the name entered matches the Aadhaar database character-for-character.
